Executive Assistant
We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to a dynamic leadership team on an important internal project.
In this role, you will deliver high-level executive support and ensure smooth coordination of project and administrative activities across the team. You will also manage office operations with professionalism and efficiency, contributing to the achievement of both strategic and operational goals of the Office.

Key Details:
• 4- 5 month contract to start asap

Key Responsibilities:
• Provide confidential, high-level administrative and executive support to the Executive Director by managing workflows, diary management, coordinating daily activities, responding to urgent matters, preparing accurate documentation within deadlines, and arranging approved travel and accommodation
• Undertake planning, research and analysis activities, under direction, to support the delivery of projects, business objectives and improve administrative and financial processes
• Collate, analyse and summarise data and information, identify errors or gaps, and prepare reports with recommendations that contribute to the achievement of business objectives.
• Provide administrative and secretarial support for meetings, including room setup, agenda and paper preparation, minute-taking, document distribution, and timely follow-up on action items
• Deliver high-level administrative and business support to ensure smooth office operations, including HR coordination, financial and strategic planning assistance, risk and asset register oversight, communications management, and maintenance of office policies and procedures
• Build and maintain effective relationships and networks with internal and external stakeholders to support collaboration and the delivery of business outcomes
Essential Qualities:
• Demonstrated experience in coordinating, planning and providing a wide range of professional and efficient administrative services, including providing high level professional executive support for executives.
• High level verbal communication and interpersonal skills and proven written communication skills, particularly in the preparation of different types of correspondence including, cabinet submissions, briefings and minutes.
• Demonstrated ability to use a full range of Information Technology and record management systems at a high level, including the MS Suite (Word, Outlook, Excel, PowerPoint, SharePoint) Objective, HR systems and Basware
• Demonstrated experience in establishing sound and effective relationships with a wide range of stakeholders, maintaining formal and informal networks and liaise with senior personnel.
• Demonstrated political acumen and well-developed knowledge of Government and public sector administrative policies and procedures, combined with experience working in a politically sensitive and confidential environment and liaising with senior executives and providing high level responses.
