We are seeking a proactive and professional Personal Assistant to support the Assistant Principal: Head of Junior School at a reputable prestigious private college.
As the first point of contact for students, families, and staff, the successful candidate will represent the College with warmth, enthusiasm, and professionalism at all times. This is a key role that requires exceptional organisational skills, a positive attitude, and the ability to creating a nurturing and organised environment where young learners feel supported, safe, and ready to thrive.
• 37.5 hours per week - 40 weeks per year

Key Responsibilities:
• Maintain a warm, welcoming, and professional presence at the Junior School Reception, greeting all visitors and managing incoming calls with efficiency and courtesy
• Provide high-level administrative support to the Assistant Principal: Head of Junior School, including calendar management, communication coordination, and document preparation
• Support the planning and execution of Junior School events, excursions, and camps, including room bookings, catering, and equipment setup
• Facilitate effective communication between the Assistant Principal and students, staff, parents, and external stakeholders
• Proofread, format, and manage confidential documents and presentations with a high level of accuracy and attention to detail
• Monitor and respond to emails in the Junior School inbox, manage voicemail systems, and direct inquiries appropriately
• Maintain accurate visitor records, ensure identification procedures are followed, and uphold safety protocols
• Coordinate the ordering and distribution of school supplies, following internal processes and approvals
• Provide relief cover for the College Nurse during breaks and assist with tasks such as lost property, photocopying, and emergency communications
• Coordinate with other administration staff to ensure continuous coverage of the Reception area and support smooth day-to-day operations
Essential Qualities:
• Clear, empathetic, and professional communication with students, staff, and parents-both written and verbal
• Ability to build positive relationships and deal sensitively and respectfully with people of all ages
• Proven ability to manage multiple priorities, meet deadlines, and maintain order in a dynamic environment
• Anticipates needs, takes initiative, and solves problems efficiently
• Comfortable managing changing priorities and responding calmly in fast-paced situations
• Maintains a polished appearance and demeanour, representing the College in a positive light at all times
• Handles sensitive information discreetly and with the utmost respect for privacy
• Works collaboratively while also being capable of working independently with minimal supervision
• Comfortable with administrative systems and tools, with a keen eye for detail in proofreading and data entry
• Holds a current Working with Children Check and National Police Clearance,
Essential Qualifications:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
